Topaz Launching Multi-Job Functionality With Supplementary Pay Run Processing

Topaz will be launching Multi-Job functionality and Supplementary Pay Run processing at Softworld as part of the latest enhancements for the integrated Topaz EMS HR and Payroll modules.

Enhanced Topaz EMS (Employee Management System) will now record multiple jobs against each employee as well as holding separate instances of each job within each employee. This will ensure that all relevant information, such as earnings deductions, pensions and National Insurance (NI) category, can be recorded and maintained for each job.

Supplementary Pay Run processing has been added to allow users to calculate and make payments outside the normal processing cycle dates, but at the same time taking into consideration PAYE and NI in relation to the normal pay period for the supplementary run.

Topaz is also using the Softworld platform to promote enhanced capability within Topaz EMS to record and automatically pay Occupational Sick Pay (OSP). This has been designed to allow employers to control, manage and accurately calculate payments for fairness to employees and even analyse needs that require support, as well as identify costs to the employer.

Additional functionality being launched on Stand AF312 during the October 17 and 18 event, hosted at the NEC Birmingham, includes -

• Workflow – provides user definable data triggered events to make the application pro-active and automatically advise when actions are required such as Appraisals and Return to Work

• Post Budget – with projected workforce costing based on organisational structure sourcing values, budgeted values and/or payroll costs. Consideration can be given to both current posts and vacancies as well as providing physical headcount and Full Time Equivalent

• Skills Profiling – to identify possible skills gaps and aid training planning with required skills defined against organisational posts, which in turn provides a framework for skills held against employees to be compared against

• Management Reporting – now allows Topaz EMS data to be presented in a data cube for easily definable reporting within Excel

• Enhanced Recruitment – the Recruitment module has been improved to include Campaign Diary, Application Checks, Checks for Applicant Duplication, Retained Rejection Reasons

• Employee Assets – to help record and monitor assets allocated to employees with information such as details of costs, return dates and asset numbers

• Document Publishing – now provides a central database of standard documents to be published to employees and documents can be issued via email, web portal or as a hard copy

• IBOLT Standard Interface – the XML interface to the Topaz EMS application allows Third Party applications to pass data directly in to the application after passing through a verification process

“Our main aim for Topaz EMS is to provide effortless integrated processing for staff working in payroll and HR departments and now we have created a host of additional functionality that will fully automate and totally transform their duties,” says Eddie Stanley, Topaz Sales Director.

“The Multi-Job functionality, for example, will allow payroll departments to fully support employees who hold multiple jobs within the same organisation, holding them as an individual employee but separating out only the information that is specific to a particular job. Then, although each job is a separate entity, the employee is processed and wages paid as an individual whilst still retaining the exclusivity of each job for costing purposes.

“Our Supplementary Pay Run facility has been designed to eliminate the stress of calculating and processing payments outside the normal processing cycle dates and the Occupational Sick Pay functionality ensures that the complete process to generate OSP payments is self contained and automatic once details of the illness has been recorded in the system.
