Topaz Financials is an extensive product covering all aspects of Financial Accounting. As well as being functional and feature rich the product is also highly scalable, meeting the needs of medium and corporate sized companies across most industry sectors as well as Education and Public Sector organisations.
All elements of the system benefit from the following standard features:
Multi Currency
The solution benefits from being multi-based currency as well as multi-currency so that transactions can be recorded in up to three base currencies automatically.
User Access
System access may be configured for specific users or groups of users allowing them access only to elements of the system they require to perform their job role.
User Interface
The easy to use look and feel of the software enables users to quickly become proficient in their specific tasks ensuring that the increased benefits of the system are immediate.
Reporting
There are many standard but flexible reports available on the system, most of which have the options to be created as CSV file for spreadsheet manipulation in addition to possible fax/email and PDF output. The reporting can be further augmented using industry standard reporting tools to create very specific reports based on any aspect(s) of system data.
Integration
Ability to seamlessly integrate with a host of third party products from industry specific business critical software to document management systems and fax/email software allowing documents, such as statements, to be automated electronically.

The Sales Ledger/Credit Control
Manages the customer database and customer transactions. It provides a credit controller's 'workbench' with comprehensive functionality, including client event recording, direct debit, a multi-level escalation process, and automated production of chasing letters. In addition to standard reporting, the system lends itself to simple "on-screen" enquiries.
The Purchase Ledger
Manages the supplier database and supplier transactions. As with the Sales Ledger, standard reporting and ad hoc queries are both supported. It includes an authorisation kiosk which routes both purchase invoices and actual payments of a defined value through to senior user(s) for approval.
Trading Partners
There is also the ability to define, manage and view individual accounts as both suppliers and customers, these are categorised as Trading Partners.
The Cashbook
This controls all bank accounts, credit cards and petty cash. Bank statements can be imported and a real-time balance is provided for every account. Drill-down capabilities are available for those who need to see transaction details in current and historic format. Predefined Standing Orders and Direct Debits may also be set up, automatically updating the Sales and Purchase Ledger as well as the Nominal.
The cashbook enables automatic cash flow forecasting and adjustments plus manual cheque generation.
The Nominal (General) Ledger
This manages actual balances and budgets against the user- defined account codes. It supports flexible yet intuitive user-defined viewing and reporting of the balance sheet and profit and loss account detailing; Year to date, period and range of periods as well as three types of template - Columnar, Actual/Budget/Variance and by element (a department for example).
Multiple journal types and sophisticated analytical functionality are available including VAT analysis, standard, reversing, standing and repeat journal.
Commitment Accounting
Enables a simple, effective way of managing purchase commitments against budget and actual expenditure and integrates with the Nominal ledger and of course Purchase Order Processing, also enabling the user to drill down from commitments to purchase order. This facility is particularly valuable to Public Sector organisations especially in the Education and Local Government Sector.
Project Accounting
Offers comprehensive project management functionality, complete with budgeting and recording of income and expenditure tightly integrated with the ledgers. With an unlimited number of project definitions it is particularly useful for recording expenditure against grants or other fixed awards, as in Local Government, Education and the Public Sector.
Purchase Order Processing
Offers a comprehensive solution for controlling and managing the order process, from requisition through to GRN and invoice reconciliation. Its authorisation facilities enable ordering to be deployed throughout the organisation without loss of control.
Sales Order Processing
Provides facilities to record sales orders, standing orders, contracts and contract call-offs, with flexible pricing and discount structures against customers and products.
Stock control
This is the basis of Stock Management. The Purchase Order Processing, Sales Order Processing and Production Systems provide the main stock movements of goods in and goods out of stock. Stock adjustments, stock tracking and movements between locations are directly entered into the system.
Fixed Assets
A fully integrated module for complete asset accounting and asset management. Allowing effective control, analysis and management of all fixed assets from capitalisation to retirement.
Technical Information
Topaz Financials is a MS Windows-based application operating on all common platforms and compatible with a range of leading databases.
