Topaz EMS is a fully integrated solution covering payroll, HR and Time & Attendance management. A highly scalable product, it is competitively priced but also extremely comprehensive. It offers rich functionality and an intuitive look and feel.
User Access/Security
System access may be configured for specific users or groups of users allowing them access only to elements of the system they require to perform their job role. For example a departmental manager may only access the holiday records for his team. 'Self-service' is available allowing specified access to individual employees so they can only see their own records and perform a restricted set of functions, if any.
An Audit Log is also included providing a record of all user activity on the system. This can be reported on by user, date, and modification type, to mention just a few.
User Interface
The easy to use look and feel of the software enables users to quickly become proficient in their specific tasks, ensuring that the increased benefits of the system are immediate.
Reporting
There are many standard but flexible reports available on the system most of which have the options to be created as a CSV file for spreadsheet manipulation in addition to possible fax/email and PDF output. The reporting can be further augmented using industry standard reporting tools to create very specific reports based on any aspect(s) of system data.
Integration
The software has the ability to seamlessly integrate with a host of third party products from industry specific business critical software to document management systems and Fax/email software, allowing documents such as statements to be automatically electronically.
Payroll
The Topaz EMS Payroll solution has been designed to meet the complex payroll processing requirements of today's large organisations. It manages employee remuneration effectively by means of multiple payrolls; unlimited combinations of earnings and deductions; automated SSP, SAP, SPP and SMP; and a flexible pensions facility.
It also features pay scales, stakeholder pensions, tax credits, student loans and payment in euros. Validation checks reduce the risk of human error. SMP dates, for example, can be validated in line with most recent legislation. With Topaz EMS, employers can effortlessly meet their legal and contractual requirements, and fulfil their responsibilities to future employees.
E-filing
The new e-filing facility, for which Topaz has accreditation, enables Year-End documentation to be easily and securely submitted electronically to the Inland Revenue. Plus it can import employee tax code changes directly from the Inland Revenue.
Calculation History
The option to retain historical data, including on-screen pay slips, tax and NI totals as well as historic legislation for the current and past tax years. This module supports retrospective reporting and analysis for management information purposes.
Employee Start Wizard
This guides the users through the mandatory fields required to make an employees live on the payroll system. Equally, given access the HR staff can administer.
HR
The Topaz EMS HR solution provides a complete administration environment for HR management. It provides the user with the ability to record and report on all aspects of HR, maximising the usefulness of the data and helping employees to fulfil their potential.
The solution consists of a series of fully integrated modules:
Personnel Administration
Stores information covering all aspects of the employee's career. From Education, skills and training records to job contracts and medical details. Not to mention specific holiday schemes and their calculated amounts. Comprehensive document-handling capabilities enable documents to be attached to employee records.
Expenses Management
Is fully integrated with the payroll and Benefits Management. Expenses may be paid as part of the pay run or in isolation. Also using self-service access, individual employees may enter their own expenses ready for authorisation.
Personnel Diary
Maintains a chronological list of events for every employee and provides graphical diary profiles. It can be used for holiday administration and for absence and sickness management, not to mention health and safety events. Each of the diary events may be emailed or indeed trigger emails may be set up, e.g. reminders for next appraisal date.
Vehicle Management
Stores a complete range of information about company vehicles including car specification, assignment, usage, finance and the planned disposal date. This information may be used for generation of P11D forms.
Benefits Management
Collates all relevant employees benefits from the Expenses and Vehicle management facilities and produces an on-screen P11D which can either be printed or submitted via eFiling.
Recruitment
Facilitates the recruitment process, by allowing specific recruitment campaigns to be set up with many levels in the selection process. For each level the system produces automated mail merge letters for successful and unsuccessful candidates. Information on successful candidates is automatically forwarded to relevant Topaz EMS modules.
Training Administration
Provides a comprehensive management solution for workforce training and development. Training Administration allows any number of training courses to be set up and it is possible to may drill down to select appropriate employees and invite them via email. Once a course is successfully completed each individual employees training records can be automatically updated.
Staff Development
Allows specified career development tasks necessary for a defined job grade to be allocated to staff members. When a task is completed, using self-service the employee, or the employee's departmental manager may enter the evidence for review and confirmation. This may be used in many scenarios but is particularly relevant in professional organisations such as firms of accountants or solicitors.
Time and Attendance
A comprehensive optional module designed to support flexible working practices operating in tandem with clocking units. Also available is a Time & Attendance/Rota system specific to the public transport industry.
